Recently, many company directors have contacted their accountants after receiving an unexpected email from Companies House stating:
“There’s been a change in who is digitally authorised to file for your company…”
If you’ve received one of these messages, there’s usually no cause for concern. This is a normal notification linked to a recent security update introduced by Companies House.
What Has Changed at Companies House?
Companies House has moved accountants and other authorised agents onto the GOV.UK One Login system. This new system replaces the old Companies House login and is part of a government-wide drive to improve digital security, transparency, and audit trails.
As your appointed accountant, we now access your company records using this updated login system when carrying out routine compliance work such as filing statutory documents.
Why Am I Receiving an Email from Companies House?
Under the new system, Companies House automatically sends a notification to a company’s registered email address when an authorised agent accesses the company record.
This email may say that:
- There has been a change in digital authorisation
- Someone is authorised to file for the company
- You can log in to view the update
These messages are sent directly by Companies House, not by your accountant.
Is This Something to Worry About?
In most cases, no. If your accountant normally handles your Companies House filings, this notification is expected and legitimate. It simply confirms that your authorised agent is accessing your company record in order to complete statutory duties.
This might include filing:
- Confirmation Statements
- Director or officer updates
- Other required Companies House submissions
The email is part of improved transparency and security measures rather than a sign of any unusual activity.
Do I Need to Take Any Action?
Usually, no action is required. These notifications are often triggered the first time an agent accesses your company record using GOV.UK One Login.
However, you should get in touch with your accountant if:
- You receive a notification you do not recognise
- The email relates to a company your accountant does not act for
In these situations, it is important to double-check activity for security purposes.
Why Can’t These Emails Be Turned Off?
Companies House is legally required under the Companies Act 2006 to use a company’s registered email address for statutory communication. These emails:
- Cannot be unsubscribed from
- Are not marketing messages
- Do not appear on the public register
They are purely compliance-related notifications designed to protect companies from unauthorised access.
What This Means for Your Business
Your accountant will continue to access your company records only when necessary and strictly within their authority as your appointed agent. These changes simply improve security and accountability in the digital filing process.
If you receive a Companies House notification and are unsure about it, it’s always sensible to sense-check it with your accountant for peace of mind. Feel free to contact us if you would like any further information.
